1. Scope
This Privacy Notice explains how EZWAY Delivery and its parent companies, subsidiaries, affiliates, and related entities, as applicable (collectively, “EZWAY,” “we,” “us,” or “our”), collect, use, disclose, protect, and retain information when a person visits our website, contacts us, applies for an opportunity, receives EZWAY communications, or uses the Team Portal. Additional employment notices or legally required disclosures may also apply.
2. Information we collect
Depending on how you interact with EZWAY, we may collect:
- Identity and contact information, including name, phone number, email address, employee or transporter identifier, and role.
- Application, employment, scheduling, attendance, performance, delivery quality, route, safety, training, incident, corrective-action, acknowledgment, and profile-update information.
- Communications sent or received through EZWAY systems, including SMS/MMS content, pictures, video, audio, files, delivery status, call metadata, and recorded voicemail. Live call audio is not automatically recorded in the current Team Portal.
- Portal and website activity, including authentication events, consent records, assigned permissions, page context, audit logs, device or browser information, and a privacy-protective hash derived from an access IP address when an agreement is accepted.
- Questions, feedback, and conversation history submitted to an EZWAY assistant. Public visitors should not submit confidential employee, customer, route, or account information to the public assistant.
3. How we use information
We use information for legitimate business purposes, including to operate and secure our website and Team Portal; authenticate users; recruit and communicate with applicants; manage scheduling and dispatch; provide scorecards and feedback; support safety, quality, training, attendance, and performance processes; manage incidents and employment workflows; deliver and track operational messages and calls; answer questions; improve approved assistant responses; investigate misuse; maintain business and audit records; comply with contracts and legal obligations; and establish, exercise, or defend legal rights.
We will not use personal information in a manner that conflicts with this notice or applicable law merely because it appears in an EZWAY system.
4. Role-based access and confidentiality
Team Portal information is not public. Access is assigned by role and business need, and protected requests are checked by the system. Employees are expected to access only information made available to their account. Authorized EZWAY managers, dispatchers, owners, administrators, legal advisers, and service providers may access information when needed for an authorized purpose.
5. Text, multimedia, and voice communications
When a user enters a mobile number on the Team Portal sign-in page and selects “Text me a security code,” the user requests and consents to one automated authentication text at that number. Message and data rates may apply. That request does not enroll the user in recurring EZWAY Team Communications and does not authorize marketing.
After the number is successfully verified, a first-time user is shown a separate, unchecked communications-consent box. The user must affirmatively select it, review the disclosure, type their name as an electronic signature, and submit the agreement before recurring operational SMS/MMS or portal calling begins. EZWAY retains consent evidence that may include the verified number, user identity, disclosure and agreement versions, electronic signature, timestamp, and audit information.
The EZWAY Team Communications program sends operational—not consumer marketing—messages such as schedules, dispatch information, scorecards, safety or corrective-action notices, reminders, incident workflows, and support replies. Message frequency varies based on work activity. Message and data rates may apply. Reply STOP to stop SMS/MMS, START to resume, or HELP for help. If you stop texts, contact EZWAY management to arrange an alternative channel for required operational notices.
EZWAY will not share mobile phone numbers or SMS opt-in and consent data with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or transfer this information for marketing. Service providers may process it only as necessary to deliver EZWAY communications and related support and may not use it for their own marketing.
Calls placed through the Team Portal may create records of the participants, phone numbers, direction, status, time, and duration. The current portal does not automatically record live call audio. A caller who leaves voicemail is recorded, and that recording may be retained and reviewed by authorized personnel.
6. Service providers and disclosures
We may disclose information to vendors that help us run the service, including hosting, storage, security, communications, and artificial-intelligence providers. Current services may include Cloudflare for application infrastructure and storage, Twilio for phone verification and communications, and OpenAI when an assistant feature is used. These providers process information for service delivery under their applicable agreements.
We may also disclose information when reasonably necessary to comply with law, protect safety or rights, investigate misuse, respond to legal process, complete a corporate transaction, or work with professional advisers. EZWAY does not sell personal information for money or use Team Portal data for third-party advertising.
7. Retention
We retain information for as long as reasonably necessary for the operational, employment, safety, contractual, audit, dispute, and legal purposes described here. Different records have different retention periods. Communication logs, acknowledgments, consent evidence, incident records, corrective actions, and voicemail may be retained as business records even after portal access ends, subject to applicable law and approved record-retention practices.
8. Security
We use administrative and technical safeguards designed to protect portal information, including one-time-code authentication, role-based permissions, signed links, protected storage, and audit records. No website, transmission, or storage system is completely secure. Users must protect their phone, sign-in codes, sessions, and devices and promptly report suspected unauthorized access.
9. Choices and corrections
You may request correction of inaccurate contact or profile information through an available portal workflow or your manager. You may use the messaging keywords described above to manage SMS/MMS preferences. Privacy and employment rights vary by location and context; EZWAY will respond to verified requests as required by applicable law.
10. Changes and contact
We may update this notice as systems or legal obligations change. The effective date appears above, and authenticated users will be asked to accept a materially revised portal agreement. Questions or requests may be submitted through our contact page or to EZWAY management.
